Event organisers receive hundreds of trader applications for every available pitch. A strong application can be the difference between getting booked and being ignored.
Industry Data: The elements of a strong application: professional food photography (natural light, clean presentation, no filters); a clear and concise menu with prices; evidence of all certifications (food hygiene, insurance, gas safety); photos of your branded setup in action; a brief description of your food and your story; and — where possible — testimonials or references from previous events.
Your story matters. Event organisers are not just filling pitches — they are curating an experience for their customers. A trader with a genuine, authentic story behind their food is more compelling than one who simply lists their menu items. Write about why you cook what you cook. Make it personal.
Follow up professionally if you have not heard back within two to three weeks. A polite, brief follow-up email demonstrates professionalism and genuine interest. Do not be discouraged by rejection — apply again next season with an improved application.
